Waggoner PTO General Meeting Minutes

Meeting called to order @ 8:15am, Reading Area

1.      September Minutes Review & Acceptance

a.       Motion to accept: 

v      1^st= Lora; 2^nd= Rosalie

2.      Treasurer’s Report – Lora Wait:

a.       Reviewed:  Profit & Loss and Balance Sheet dated 9/30/09

b.       $59k in available funds

c.       $10k raised so far during the Fall Fundraiser with several days to go

d.       Only one choir scholarship needed – reference last months meeting where up to 3 choir scholarships were approved

e.       Please submit all ideas via the website or requisition form

3.       Box Tops Update – Stacy Novis:

a.       Two classrooms were very close, raising over 1, 000 BoxTops each in September!

b.       So far BoxTops has generated $900 in funds!

c.       1^st place will receive an ice cream party!

d.       Stacy is determining if 2^nd place should receive something special also as only ~50 BoxTops separated the 1^st and 2^nd place classrooms

e.       Frisbees (leftovers from a previous event), popcorn, special pencils were discussed as being additional prizes or incentives

4.      Sock Rock/Hop Update – Lisa Risch:

a.       Coming up on Friday, Oct 2, 6:30-8:30

b.       Volunteers needed for refreshment stand

c.       Tickets given out for ice cream

d.       Safeway is donating all the cookies and lemonade

e.      DJ is set & Ellen D will be instructing & getting people involved with some ‘50’s’dance moves!

5.      Fall Fundraiser:

a.       $10k raised with a few more days to go

b.      Amount paid thru PayPal at $750

6.      Expenditure Requests  – Lesley:

a.       Umbrellas (& wall hooks) for the duty staff during rainy or blistering days:

v      Jennifer Robb requested $100 be spent for this request

Ø      Motion:  To purchase $100 worth of umbrellas & corresponding wall hooks for the duty staff

¨       1^st:  Courtney;  2^nd:  Tessa; None opposed

b.      Character Counts – Increase of budget to $350:

v      Jennifer Robb requested the budget be increased to $350; currently at $200; only $95 used last year, but not all expense slips were turned in for reimbursement.

Ø      Motion:  Motion:  To increase the Character Counts budget to $350

7.      Waggoner Night Out (WNO) Update - Ingrid:

a.       Over $1500 raised so far between Polar Ice and Chuck E. Cheese!  Goal is $1500 for the year.

b.       Next WNO event is at Baja Fresh on October 20;  YC’s Mongolian on Nov 3.

c.       “What’s for Dinner – Boston Market” Nights on Oct 28 & 29 during Parent/Teacher Conferences and the Pumpkin Walk

8.      Parent Liason Program - Kelly:

a.       The parent liason for each classroom is to relay email messages to parents if so supported by the teacher.  A suggestion was made to survey the teachers asking if they would like the Parent Liason to handle these notices.  A few teachers do not want to distribute addresses and are requesting that the notices go thru them and they will relay to the parents of the children.

b.       A quick survey during the meeting showed that most parents are receiving notices from their parent liaisons. 

c.       This program was intended to help teachers.

9.      Turkey Trot – Lesley:

a.       Jim Kenehan volunteered to chair this event in November!
